Schultz Septic Portal Privacy Policy

This Privacy Policy describes how Schultz Septic LLC ("Schultz Septic," "we," "us") collects, uses, and protects information in the Schultz Septic Portal mobile app (the "App"). The App is an internal tool for Schultz Septic employees. Accounts are created by Schultz Septic; the App cannot be used without one.

Information we collect

Account information

Work email address (your @schultzseptic.com address), used to identify your account and to send you sign-in codes.
Account identifier, a random ID assigned to your account, and the dates your account was created and last signed in.
Password, only if one has been set for your account. Passwords are stored in hashed form, and we can't see them.

Information you enter

Fuel Log entries: the machine or vehicle fueled, the fuel tank, the pump meter readings before and after fueling, the times you recorded them, any note you add, and the difference between your starting reading and the pump's last recorded reading. Each entry is linked to your account.
Machines you add: the machine's name, type, and fuel, and which account added it.

Information stored on your device

Your sign-in session, kept in your device's secure storage (the iOS Keychain or Android Keystore) so you stay signed in.
Your appearance setting (automatic, light, or dark).

What we don't collect

The App does not access your location, contacts, photos, camera, or microphone. It contains no advertising, does not use advertising identifiers, and does not track you across other companies' apps or websites. It does not include third-party analytics.

How we use your information

To create and secure your account and let you sign in.
To record fuel use for Schultz Septic's vehicles and equipment.
To keep fuel records accurate, including reviewing entries whose starting reading doesn't match the pump's last reading.
To support you and fix problems with the App.

We do not sell your information or use it for advertising.

Who can see your information

Schultz Septic management and office staff can see all fuel entries, including which employee made each one, for record-keeping and review.
Other employees using the App can see fuel entries and pump readings (for example, a machine's recent fill-ups and a pump's last reading), which they need to log their own entries.

Service providers

We use the following providers to run the App. They process information only on our behalf and under agreements that require them to protect it:

Supabase hosts the App's database and sign-in system. Data is stored on servers in the United States.
Resend delivers sign-in code emails. It receives your email address and the code being sent.
Apple and Google distribute the App through their app stores. Their handling of information is covered by their own privacy policies.

We may also disclose information if required by law, or to protect the rights, property, or safety of Schultz Septic, our employees, or others.

How long we keep information

We keep your account while you work for Schultz Septic and use the App, and we remove access when your employment ends. Fuel entries are company business records, so they are kept after an account is deleted, but they are no longer linked to you and show only as coming from a former employee. Machines you added also stay in the App without being linked to you. Sign-in codes expire after 10 minutes.

Deleting your account and data

You can ask us to delete your account and associated data at any time. See Delete your account and data for how.

Your choices and rights

You can ask us to see, correct, or delete the personal information we hold about you by contacting us using the details below. We'll respond within 30 days. Depending on where you live, you may have additional rights under applicable law.

Security

All data sent between the App and our servers is encrypted in transit (HTTPS/TLS). Access to data is restricted by account, and each employee can create and change only their own fuel entries. Your sign-in session is stored in your device's secure storage. No system is perfectly secure, but we work to protect your information.

Children

The App is intended only for Schultz Septic employees and is not directed to children under 13. We do not knowingly collect information from children.

Changes to this policy

We may update this policy from time to time. When we do, we'll change the "Last updated" date at the top of this page and, for significant changes, let employees know.
